RFP responses built on your own evidence, every claim traceable to its page.

Pilot RFP ingests your company documentation alongside an incoming RFP, composes a requirement-by-requirement response with cited sources, and verifies each statement against the evidence before it reaches a reviewer. Your bid team receives a compliance matrix in Excel, a Word draft, a formatted PDF proposal and a management briefing deck, all produced on your own hardware.

One real row from the built-in sample company and sample RFP.

From a pile of PDFs to a reviewable draft

The knowledge base is read once and reused for every RFP.

1

Index the knowledge base

Headings, tables and sections are detected, then indexed for meaning and keyword search.

2

Extract the requirements

Pulled from tables or numbered clauses in the RFP. You correct the list before drafting.

3

Draft with citations

Each requirement gets sub-queries, hybrid search and an answer where every statement cites a source.

4

Check and assemble

Statements are fact-checked and the compliance status is set from verified evidence.

Built to say "I don't know" instead of guessing

An RFP response is a commitment. Pilot RFP's checks are there to keep unsupported claims out of the draft, and to show your reviewer exactly what was removed and why.

These checks reduce errors, they do not remove them. A person reviews every response before it is sent.

  1. Every statement must cite a sourceNo source, no sentence.
  2. Numbers must appear in the cited textFigures and technical terms are matched against the source passage.
  3. A second model pass and a requirement checkStatements are marked supported or unsupported. Evidence quotes must match the source word for word, roadmap text counts as not met, and limits are compared numerically.

Three review statuses, one clear next action

StatusMeaning
Ready for spot-checkCompliant with no flags. Still check it against the source.
Needs reviewPartial or non-compliant, a mandatory gap, a number not found in the sources, or statements removed by the checks.
No match: input neededNothing reliable in the knowledge base (price, lead time, ...). A person supplies it.

Everything your bid team needs, generated together

XLSX

Compliance matrix

Compliance, input needed, flags, removed statements, sources, plus reviewer decision and notes columns. An Evidence sheet shows every retrieved passage.

DOCX

Response draft

Point-by-point answers with citations. Missing information is highlighted yellow. Switch citations off for a clean copy.

PDF

Technical Proposal

Cover page, contents, numbered sections, running header, page x of y, bookmarks and clickable contents.

PPTX

Management presentation

An opportunity review deck built automatically at the end of every run.

If the client sent their own Excel matrix, upload it instead. Pilot RFP fills in their file, keeps their layout and never overwrites cells they already completed.

Design the proposal before it is drafted

A five-step layout builder in the web interface lets you set the architecture of the PDF yourself.

  • Cover page with logo, accent colour and a live preview
  • Optional cover letter and abstract
  • Your own outline, up to four levels, reorderable by drag and drop
  • Text, pictures, tables and requirement answers in any order
  • Placeholders such as {company} and clean-copy mode without draft marks

Private by design

The language model runs locally through Ollama on your NVIDIA GPU. Your documents stay on your machine.

  • Web interface listens on this computer only, behind a user name and password
  • One workspace per client, so knowledge bases never mix
  • Drafting stops if the company name is unset or the model is not on the GPU
  • Scanned PDFs are refused with the ocrmypdf command to fix them
